PERSONAL LETTERS

-         Students are able to comprehend the purposes of personal letters and what people expect from personal  letters.

-     Students are able to write personal letters with correct social functions, formats, and components according to the given contexts.

 

1.       Social Function of Personal Letters

Personal Letters are usually written to someone whom we know, such as friends , relatives, and pen pals.

2.       Characteristics of Personal Letters

a.       Most personal letters are handwritten, but today people sometimes type their personal letters.

b.       Personal Letters are usually written using an upbeat, friendly tone.

c.       Personal letter add the feeling of intimacy. When we write a personal letter, it will finish not with “Yours sincerely” but quite often will finish with “Love” or “regards” even “Cheers”, depending on who we are writing to and how we have written the letter.

d.       Sometimes, a joke, poem, or sketch might be added.

 

3.       Structures of Personal Letters

Here is the full format of personal letters.

a.       Heading, it appears at the top of the letter. It includes your address and the date aligned to the right-hand margin.

b.      Salutation or greeting.  A salutation greets the person to whom you’re writing. “Dear (name) is the most common salutation. It begins two lines below the address. A very caused letter or e-mail can have a more informal greeting. Write the salutation aligned to the left-hand margin, and use a comma after the person’s name.

c.       Opening Paragraph.  The first paragraph can be used to ask about the receiver’s condition. For example, how are you? How are you doing? How have you been? I hope you’ve been having a wonderful holiday.

d.      Body.  The body of personal letters includes your thoughts and ideas. Use short paragraphs to hold the reader’s attention. Write your purpose why your write the letter. But remember, your relationship and familiarity with the person with whom you are writing to. It is to determine the level of formality you will use to write the letter.

e.       Closing (closure). Try to end the letter with positive feelings. For example, Hope to hear from you soon, please write back, Have aa wonderful weekend.

f.        Complimentary close. It is based on the relationship with the receiver. Follow the signature by giving your name.

Example :

-          Formal        : Sincerely; warmly, Best wishes.

-          Casual         : Yours; Take care; Cheers, Your friend.

-          Intimmate : Love; Much love, Thinking of you.

g.       Signature. Signature is a person’s name written in that person’s handwriting.

h.      Postscript (P.S.) . It is often found at the end of friendly letters. A P .S. or postscript is a way to add information. A postscript is a brief message appended to the end of a letter or a short note at the bottom of a letter. It is also defined as an afterthought, thought that’s occurring after the letter had been written and signed.

b.   Use of first and second person pronouns, such as I, We and You.

c.       Use of declarative sentences.

d.       Sometimes use informal language.

Contractions, relative clauses without a relative pronoun, and ellipsis are more common in informal language.

e.       Sometimes use colloquial language, for example, wanna (want to) and gonna (going to).

     f.        Use of simple present tense and past tense.

5.       Style of Personal Letters

Style is important to make a good impression with your letters, but if you want to make them look really professional, small items like punctuation and spelling are make or break. Be warm . Use natural and conversational style.

Kinds of Personal Letters :

1.       Personal Letters “Person to Person” 

·         Character reference letter atau surat referensi , dikirim oleh seseorang.

·         Condolence Letter atau surat simpati, surat yang dikirimkan oleh sebuah lembaga atas tujuan bela sungkawa.

·         Friendly letters, merupakan surat yang dikirimkan oleh sebuah lembaga untuk ajakan mengikuti pertandingan persahabatan.

·         Goodbye letters atau surat perpisahan dikirim oleh rkan kerja.

·         Love Letter atau surat cinta, biasanya dikirimkan untuk seseorang yang dicintai kekasihnya.

·         Letter of apology, surat yang dikirim sebagai permintaan maaf.

·         Letter of complaint, surat yang dikirim untuk melakukan aksi protes atas perbuatan yang tidak menyenangkan.

·         Letter of congratulation, surat yang ditulis sebagai ucapan selamat.

·         Letter of resignation, surat yang ditujukan kepada pemilik perusahaan untuk mendapatkan izin resign bekerja.

·         Letter of thanks. Surat yang berisi ungkapan terima kasihyang ditujukan kepada teman atau yang bersangkutan.

·         Letter of welcome. Surat penyambutan untuk anggota baru.

·         Teacher letter to parents.  Surat yang berisi pemberitahuan yang ditujukan kepada orang tua murid.

 

2.          Personal letters “Person to Business”

·         Application Letter atau surat lamaran pekerjaan.

·         Acceptance letter atau surat pernyataan menerima tawaran pekerjaan.

·         Commendation letter atau surat orang tua yang dikirimkan kepada guru.

·         Complaint letter atau surat aksi protes.

·         Cover letter atau surat aplikasi lamaran kerja.

·         Financial hardship letter  atau surat permohonan peminjaman.

·         Hardship letter atau surat permintaan penjualan singkat.

·         Introduction letter atau surat pengenalan diri.

·         Letter of intent atau surat pembatalan kontrak.

·         Request letter  atau surat permintaan kepada perusahaanuntukm mendapatkan informasi tertentu.

·         Resignantion letter atau surat permohonan pindah kerja.

·         Thank you letter  atau surat ucapan terima kasih yang biasanya dikirimkan setelah mengikuti interview pekerjaan.
